Overview
In Shop Manager, you can create and assign statuses to a Repair Order (RO) to track its progress efficiently. These statuses help indicate the current stage of the repair process and can be customized to fit your shop's workflow. You can configure and manage statuses in the Account Settings tab.
This article will guide you through the process of creating, editing, and removing statuses, as well as how to apply them to a Repair Order for better organization and communication.
*Note that an RO in the Estimate phase cannot have a status assigned.

Navigating to Statuses in Account Settings
To see your current list of statuses, you can navigate to your User Icon > Account Settings > select the Statuses tab.
Adding, Editing, and Removing Statuses
Once at the Statuses page, you'll see a list of your current statuses. Typically, they will include:
- Checked In
- Needs Estimate
- Waiting for Approval
- Waiting for Parts
- Warranty
- Completed and Contacted
You can add as many statuses as you want and edit or delete statuses. You can also choose if you want that status to show within your shop's Workflow page as well as set a default Work Order status, if needed.
How to Apply a Status to a Work Order
Statuses can be applied to Repair Orders and updated at any time after the job has started. To assign a status, first ensure that the Repair Order (RO) has been started and is no longer in the Estimate stage. Once the RO is active, you’ll find the status selection option in the upper right corner of the Work Order. Simply click the dropdown menu and choose the appropriate status.
If the status needs to be changed on the Work Order, simply click directly on the status name to bring up the drop-down menu.
Where to View Statuses on Work Orders
After a status is set on an RO, it can be viewable in a few different areas. Commonly, the status is found within the Jobs in the Shop tab on the left-hand toolbar. You will notice the status appear under My Jobs (if the RO is assigned to you), Workflow, Open Jobs, and Closed Jobs. See the images below on where the status can be located on each page.
