Overview

In Shop Manager, you can add a vehicle in two ways: directly within a repair order or through an existing customer profile. If your myCARFAX integration is enabled, you can also add vehicles using their license plate number for quick and accurate entry.

 

This article will walk you through both methods to ensure a seamless process. Additionally, Shop Manager allows you to add vehicles without a VIN. If you need to enter a non-standard vehicle that doesn’t have a VIN, please refer to this article for detailed instructions.

Adding a Vehicle Directly on a Repair Order

To add the vehicle to the Repair Order, after a customer has been selected, go to Vehicle Info section and select an existing vehicle from the drop down menu or add a vehicle if it is not listed. 



 

To add a new vehicle, instead of selecting an existing vehicle from the dropdown, you can enter the VIN or enter search terms to find the vehicle. 


  • If you are entering in a VIN, click the blue + icon to add the VIN/vehicle to the RO, which also saves the vehicle to the customer profile at the same time. At times the system may ask you to choose the correct vehicle from a list if the VIN matches various models, ensure the correct model and engine size is selected. 
     
  • If you are searching by year, make, model, then select the appropriate vehicle from the search list. This will then add the vehicle to the RO and the customer profile. Notice that no details other than the year, make, model, and engine size are shown. A VIN can be entered at any time by clicking the three dots directly to the right of the VIN field. 
     
  • A vehicle can also be added manually through the RO by clicking the three dots in the upper right of the Vehicle section and choose to add vehicle manually. Notice the only field required is the make.
     

 

Once the vehicle has been added, you are able to fill out additional details such as the color of the car, the plate number, odometer in, etc., as shown in the image below.



 

 

Adding a Vehicle to a Customer's Profile

On the Customer Profile page, you can search/add by VIN or vehicle parameters, just as you can when adding a vehicle to the RO. 

 

 

Once you add the vehicle, its information will pop up. From here, you can add a plate number, a fleet number, delete the vehicle, or create an Estimate for this customer.

 

 

 

 

Adding a Vehicle by License Plate Number (using the myCARFAX integration)

If you have myCARFAX connected under your Shop Settings > Partner Services tab, then when you go to add a vehicle you will see the option to search for a license plate. 

 

 

To begin your search, enter in the license plate number of the customer's vehicle and ensure the correct state is selected. There will be confirmation screens throughout the process to help ensure you are adding the correct vehicle and VIN.
