Yes, you are able to control what kind of information is required when a Repair Order (RO) is started or closed.
Within Shop Settings > RO Info, there is an option halfway down the page called Repair Order Requirements that allows you to toggle what kind of information should be required (if any) and when it should be required, such as when starting the RO and/or when closing the RO.
Below is a full list of the current options for Repair Order Requirements
These requirement settings will determine what kind of information will be shown and requested when starting or closing a Repair Order. By default, you are unable to change whether or not a Technician or Make of a vehicle is required, they will always be required on ROs.
Let's see what the starting and closing process of an RO looks like when fields are required, check out the visuals below.
Starting an RO
If certain fields are required to start a Repair Order (RO), the system will prevent the RO from being started until those fields are completed. If the user tries to proceed without filling them in, the system will highlight the missing fields in red, making them easy to identify. Once all required fields are completed, the RO can be officially started, transitioning it from an Estimate to a Work Order.
After 'Start RO' is selected in the bottom right of the repair order, a modal will appear, asking for customer information first, then vehicle information, then you'll review the Estimate approval information before the RO is officially started.
NOTE: The vehicle section will only appear if vehicle information is required (outside of the make) and that information is missing. For instance, you have the year/make/model, but the plate number is required. If that plate information isn't entered before trying to start the RO, the vehicle section will appear in the Start RO modal requesting the missing required info.
In the example below, the repair order requirements state that the customer's email address and phone number are required before starting the RO. Let's see what happens when we forget to fill out one of those fields and attempt to move forward.
Notice that the email address and phone number fields got highlighted in red to bring attention to what's required and an error message growler appears in the upper right of the screen to inform the user there is information required that is missing.
Closing an RO
The process of closing an RO that has field requirements is similar to when you start the RO. If you attempt to move forward with required fields being empty, an error message will appear and highlight the fields that are required in red.
Let's see what this looks like below with a Service Advisor, the Odometer Out reading, and vehicle plate # needing to be entered before proceeding.
NOTE: Similar to starting the repair order, the vehicle section on the Close RO modal will not appear unless vehicle information is required that has not yet been filled out.
