As part of the product release v12.3.0, the Shop Manager Payroll page has been redesigned with several key enhancements. This update gives shop owners and managers a more comprehensive view of employee payroll hours, including overtime. Users can now easily export or print payroll reports for greater flexibility.
The refreshed layout also introduces live KPI metrics displayed across the screen, helping teams track performance in real time. Additionally, the page now supports advanced filtering and sorting options to customize the view based on your needs.
This article will take a deep dive into the new Payroll page features and functionalities introduced in this release.

The Payroll report can be accessed by visiting the Reports $ tab and choosing the 'Payroll' option. The ability to view and export the Payroll report is dependent on individual staff permissions. Along with the page update, there are also two new settings for Payroll that is located under Shop Settings > Staff, across the top of the page as shown below. You can adjust the options selected as they apply for your shop.
When you first open the Payroll page, you'll see a variety of features across the screen. Let's review each of these features on the page in depth below.
Payroll Table
The most immediately noticeable feature on the Payroll page is the central table displaying a list of all staff members. By default, each staff member's information is collapsed, showing a summarized view of their total hours. To view more details, simply click the black plus (+) icon on the far left of the staff member’s row.
Expanding a row reveals a detailed breakdown of that employee’s hours and the view will be different for Flat Rate employees vs Hourly. Let's take a look at what each expanded row looks like below. You can filter the results and the columns on the table, which will be covered in the next section of this article.

Individual Actions
Within the Payroll table, to the far right of the employee's row, there are three dots that are clickable to open up some actions for that particular employee. The actions available will depend on if the employee is flat rate or hourly.
Flat Rate employees will have the following options: Print/Export PDF, View Profile, and Staff Settings.
Hourly employees have Print/Export PDF, Edit Time, View Profile, and Staff Settings.
- Print/Export PDF
This action allows you to download a PDF file of an individual staff member’s Payroll Report directly to your device. The PDF mirrors the expanded view from the table, providing detailed information such as billed hours, associated RO numbers, service titles, and completion dates.
Once downloaded, the PDF can be printed using your device’s standard print settings.
- Edit Time (for hourly employees)
This action will take you directly to that particular staff member's Shift Clock page to allow for easy edits to their shift clocks.
- View Profile
The View Profile action will open up a new tab in your browser that takes you directly to that particular staff member's profile, making it easy for you to make any profile, permission, or payroll adjustment for that staff.
- Staff Settings
This action will open a new tab in your browser that takes you directly to your Staff page under Shop Settings. From here you can make payroll adjustments, if needed, and view your staff list along with the ability to open their profile using the cogwheel icon.
Making Selections
If you're wanting to view more than one employee's Payroll information, then you can select which employees you'd like to view by ticking the checkbox directly to the left of the employee name in the Payroll table. By default, ALL employees are selected. You'll be able to see how many are selected by viewing the number contained within the Bulk Actions button, as shown below.
Bulk Actions
When multiple staff members are selected from the Payroll table, the Bulk Actions button will become active. From this menu, you can choose to either Print Payroll Report or Export, similar to the options available for individual staff members.
- Selecting Print Payroll Report will generate a PDF file that includes each selected staff member’s payroll details, reflecting the expanded view seen in the table — including billed hours, RO numbers, service titles, and completion dates.
- Choosing Export will download a
.CSV
file containing the payroll data for the selected staff members, ideal for spreadsheet use or further analysis.

KPIs
As you make selections—whether it's a single staff member or all— the four KPIs at the top of the Payroll page update in real time. These metrics instantly reflect the combined total of regular hours, overtime hours, billed hours, and overall hours for the selected staff.
If you're not wanting to view all employees, or you want to adjust the date range, or even remove some of the columns in the table for a custom view, then you are able to with the filtering and sorting features within the Payroll page.
You can filter most columns by selecting the 'Add Filters' button located directly below the KPIs, which will then open up a Filters list on the right-hand side of the page where you can make the appropriate adjustments.
Once filters are added, you will see them appear across the top of the payroll table. From here, you can remove individual filters or clear all filters.
If multiple pay types are used then you can sort by these pay types by clicking the arrow icons in the 'Pay Types' column in the payroll table. Currently, only the Pay Type column is sortable.
You can customize the Payroll table by clicking the Show Columns button. This opens a panel on the right-hand side, allowing you to select which columns you'd like to display. To add or remove columns at any time, simply click the Show Columns button again and adjust your selections as needed.
If you are a Multi-Shop Organization (MSO) then you have the ability to select which store's employees to view, by default ALL shops are selected. Simply select the 'Add Filters' button and under the Shops filter, make the appropriate selections.
As mentioned in prior sections, there is the ability to print and/or export the payroll report, either individually or in bulk. This section will give an inside look at what each of these exports contain.
PDF/Print View of the Payroll Report
When choosing to Print/Export PDF within individual staff actions or when choosing to Print Payroll Report under Bulk Actions, a PDF file will download to your device. This PDF will mirror the Payroll page, showing the KPIs for the selected staff across the top along with the date range, then directly below that is the roll up and expanded details of each staff member.

.CSV Export of the Payroll Report
When choosing to Export within Bulk Actions, this will download a .CSV file to your device. This file contains the following columns, in order:
Shop - Employee Name - Employee ID - Pay Type - Time In - Time Out - Total Shift Hours - Total Shift Time (H:M:S) - Regular Hours - Overtime Hours - RO # - Service - Date Completed - Flat Rate Hours
